Reserve a Research-Floor Conference Room

Most rooms on the lower level and second, third, and fourth floors can be reserved at will by WIDites using the conference rooms reservation system online or the tablets outside the rooms in person. This does not include the Researchers’ Link, Orchard View Room, or conference rooms on the first floor, which must be reserved through the Town Center.

Note: you must be on the WID VPN to access the reservation system.

Reserve a Town Center Space

WARF’s Town Center manages the first floor of the Discovery Building including the atrium and the H.F. DeLuca Forum in addition to the third-floor Orchard View Room, and the second-floor Researchers’ Link. These spaces require formal reservation requests and contracts signed by Sheila O’Brien and are subject to more restrictive policies and procedures than research-floor conference rooms. See the policies, restrictions, and instructions below to reserve one of these spaces.

Town Center Reservation Instructions and Policies

  • Review the available spaces and their features and amenities here. WIDites enjoy special lower rates for room reservations and support, including AV.
  • Learn more about which events qualify for Discovery Occupant Pricing

  • Submit your request as early as possible. We cannot guarantee that your desired space will be available. The Discovery Building is one of the most popular meeting locations on campus and also hosts private events. See the public events calendar here and contact Events at the Town Center to inquire about availability.

  • In the application form enter “WID” under Group; under Organization Type, choose “Discovery Occupant“.

  • Provide as much detail as possible when requesting a reservation, including: date(s), start and end time(s), anticipated number of attendees, room setup, AV and catering needs, and event schedule.
  • After you submit a request, a Town Center event manager will connect with you about details and draw up a contract. Do not sign it; all Town Center contracts must be signed by Sheila O’Brien.

  • Note the event cancellation policy: you will be charged a full reservation fee; a $50 fee applies to no-cost contracts. If you need to cancel your event, contact WID’s Events Manager and your Town Center event manager immediately.

  • Note the catering policy: Steenbock’s on Orchard is the exclusive provider of catering services in all areas on the first floor of the Discovery Building and for all events with more than 75 attendees. Occupants may not use another catering company. See the full catering policy details.

  • Notify your event manager of any changes to your event as soon as possible.
